Tips to get started as a remote online Notary

Updated 9-4-24. Remote online notarization (RON) used to seem like a thing of the future, but the specialized technical service is growing in demand — especially in the current COVID-19 crisis — and Notaries have an opportunity to get started at a time when offering remote services will set them apart from the competition, according to Dushunna F. Scott, who has worked as a remote Notary since 2016.

Scott, owner of Lady Scott Enterprises in Richmond, Virginia, explained in an NNA 2020 Online presentation that even before the coronavirus brought about “safe at home” orders and social distancing, demand for RON services was increasing rapidly. In 2016, she took 207 assignments; in 2019, she took 899, and 2020 is looking even busier.

Notaries who have current Notary commissions in good standing can become remote online Notaries, but there are some additional requirements (depending on your state) that must be fulfilled, and Notaries should consider whether they’re equipped to handle the technical requirements before they take the plunge.

Scott outlined the basic steps to becoming a successful remote online Notary. They include:

  • Remote online notarization basics and credentials.
  • The equipment and technology you’ll need.
  • The skills you’ll need.
  • Legal considerations.

Remote online notarization basics and credentials

In remote online transactions, the signer and Notary meet on a secure platform and conduct an audio-video recorded session. The signer’s identity is verified electronically, and then the document is signed and notarized electronically using the platform.

Notaries also will need an electronic Notary commission (in Virginia and some states) or other authorization (registration as a remote online Notary in other states) in addition to their regular commission, a digital certificate, and an electronic seal, Scott said.

The proper equipment for RON

First, you’ll want to consider where you will be conducting your assignments: from a home office or elsewhere? Wherever you choose must be quiet, private and secure, Scott said. You want space that’s free from noise and distraction, and you need a professional-looking background because your signer will be looking at it behind you.

She also explained that Notaries will need a desktop or laptop computer with a webcam or built-in, front facing camera, headset, which is optional, high-speed internet and an internet browser such as Google Chrome or Safari. Most Notaries may already own this equipment. Finally, don’t forget about good lighting and have some scratch paper and a pen handy.

The proper skills for RON

Scott said Notaries should be up to date on state laws and best practices, and also be aware of the types of documents that may be notarized remotely.

In addition, Notaries should be aware of any policies and procedures of the company or technology platform they use so they’re never taken by surprise.

Scott also pointed out a few soft skills that will help a remote online Notary be successful. They include attention to detail and strong customer service skills, which is essential for repeat business. Patience and understanding are also very helpful for clients who are not technologically savvy.

Remote online Notaries also must have a good understanding of the RON platform they’re using and basic computer troubleshooting skills.

RON legal considerations

The remote world comes with unique considerations. If a document leaves your screen immediately after it’s notarized, how will you retrieve your video footage if needed? Does your Errors and Omissions Insurance cover remote online notarizations?

These questions and more are likely to come up, which is why Scott also recommends that Notaries find a support group with experienced remote online Notaries who can help advise and encourage them.

“Take the first step!” she said. “What better way to be an asset to your community than to be remote?”

Hi, I am interested in becoming a notary in Illinois, and I have begun the application process and completed the NNA training and passed the Illinois exam. Right now I am working on completing my application and I need some advice on how to proceed. I chose the option of seeking training and certification as a notary and for RON in the same process. In order to complete the application, I need to have chosen my RON platform provider, and I assume that means I need to register and subscribe to a platform provider. I am using the list of approved providers in Illinois, and I find that in order to register with them I need to have completed the process of becoming a notary and have my commission information available. My question is, do I need at this point to separate the two issues, and complete my regular notary application, and only then submit for the RON certification? It seems that is the only way I can register with a platform provider in order to provide that information on my application. Thanks for any suggestions of where I might go to get an answer to this question.

Hi, I've just got my certification on the Notarize platform, here in Florida. But I have doubts, as they mentioned that I can't do Copy Certifications on their platform. I got my certification on your (NNA RON Course) and, I read the FL Statutes and It's not clear for me, If here in FL, we can or cannot perform Remote Copy Certifications? and if we do, how do we perform? Let the customer show through the camera, the original document? How can we certify that the digital document it's a true, complete reproduction of the original? Thanks, I'll appreciate your help.

Florida Statute 117.209[1] authorizes an online Notary Public to perform any of the authorized notarial acts under Part I of Chapter 117, excluding performing the rights of matrimony. Florida Statute 117.05[12][a] authorizes a Notary Public to attest a copy and is therefore a permissible act of an online Notary Public. Although there is no procedure provided on how to attest a copy of a record through online notarization, all laws and rules governing the performance of notarial acts must be adhered to, which includes the requirement to “supervise the making of the copy of a tangible or electronic record” under FS 117.05[12][a]. For the official process, the Notary would have to check with their provider.

Effective March 5, 2018, the fees that Arizona Notaries may receive or advertise are as follows (ARS 41-316.A and AAC R2-12-1102): Taking an acknowledgment: $0 to $10 per Notary signature; Administering an oath or affirmation without a signature: $0 to $10 per notarial act; Executing a jurat: $0 to $10 per Notary signature; Certifying a copy: $0 to $10 per page certified. According to the “Arizona Notary Public Reference Manual,” Notaries may charge any amount less than the maximum or may charge no fee at all. If Notaries do charge for their services, fees should “be consistent. That is, the same fee should be charged for each notarization.”

I'm looking into becoming a ROM in Ohio. The RON guidelines state that I must be in my own state to perform a notarization, however the signer can be anywhere in the USA. Is this true regardless of the RON laws in the signers state? It seems odd that I could perform an online notarization for someone in California for example, where they are not allowing this yet.

Tennessee requires notaries to keep the audio/visual content of a notarization for five years. In addition, a backup copy is required for five years. Do you have any suggestions as to companies that provide data back up for remote online notarization? I'm concerned that the cost could end up being crazy high.

Any advice on becoming a RON Notary in Michigan. Of the 5 approved vendors: 3 are not taking new notaries, NotaryCam has not responded to my applications in months and I regularly contact them, and Notarize is on the Michigan approved list but is not accepting MI Notaries on their system when you look at their website. This is confusing to a new Notary. All suggestions would be appreciated greatly!
